Most cold-storage procurement starts in the wrong place. Someone types "cold storage suppliers" or "refrigeration manufacturers" into a search engine, collects six names, and sends each of them a short paragraph describing a cold room. Six weeks later the proposals arrive and none of them can be compared, because none of them were quoting the same project.

The Project Logic: Eleven Inputs Before the First Enquiry

A cold-chain project is a chain of dependencies. Each input constrains the next, and the refrigeration requirement is an output of the chain rather than an entry point to it.

1. **Stored product.** What is stored, in what packaging, at what incoming temperature, with what respiration or heat load and what hygiene regime.

2. **Required temperature.** The set point and the tolerance band per room — chilled, frozen, blast, 2–8 °C pharmaceutical or a mixed-zone facility.

3. **Capacity.** Peak inventory converted into pallet positions or net cubic metres, with aisles, docks and handling space accounted for.

4. **Daily throughput.** Tonnes in and out per day, which drives pull-down duty and often matters more to plant sizing than storage volume.

5. **Room configuration.** Number of rooms, temperature zones, clear internal height, door types, airlocks and traffic frequency.

6. **Insulation.** Panel thickness and material, floor build-up, vapour sealing and — for frozen rooms — under-floor heating.

7. **Ambient climate.** Summer design temperature and humidity at the actual site, which changes condenser selection and installed capacity.

8. **Refrigeration requirement.** The load calculation and refrigerant policy — NH₃, CO₂, HFC or supplier proposal — that follow from everything above.

9. **Power availability.** Voltage, phases, available kVA, grid stability and connection timeline.

10. **Redundancy.** N+1 compressors, dual circuits, alarm and monitoring strategy, and the tolerable downtime the client can actually accept.

11. **Generator, solar and pump requirements.** Backup autonomy, solar contribution where the tariff or the grid justifies it, and pump and heat-rejection selection for water-cooled plant.

Only after these are fixed does supplier search become a rational exercise: you are no longer asking "who sells cold rooms?" but "who has delivered this duty, at this temperature, in this climate, with this refrigerant, and can support it locally?"

Why Supplier-First Search Produces Non-Comparable Proposals

When the eleven inputs are missing, suppliers do not stop — they fill the gaps. Every gap becomes a silent assumption, and every silent assumption changes the number at the bottom of the page.

  • No stated design ambient → one supplier sizes for 32 °C, another for 43 °C, and the installed capacity differs by a third
  • No throughput figure → one prices a storage room, another prices a room that can pull down warm product daily
  • No redundancy level → one quotes a single compressor, another quotes N+1 with dual circuits

  • No refrigerant policy → the proposals are not even the same technology, let alone the same lifetime cost

  • Separate base scope from priced options so the base case stays comparable
  • Check what is excluded: civil works, power connection, controls integration, commissioning, spares, training
  • Compare energy consumption at realistic load, not only at nameplate
  • Compare lead time, local service coverage and spare-part availability alongside price
  • Where a supplier deviates, ask for a requote against the stated basis rather than debating totals

    Power, Backup and Renewables Belong in the Project, Not the Change Order

    In many markets the refrigeration plant is not the constraint — the electricity supply is. Grid capacity, voltage stability, outage frequency and tariff structure change the architecture: larger thermal buffer, different compressor staging, generator autonomy sized to product risk, or a solar contribution that only pays back under specific tariffs.
