What is a cold-chain RFQ?
A request for quotation that describes the refrigeration requirement precisely enough that several suppliers can price the same scope. It is a technical and commercial document, not an enquiry email.
What details should be included?
- Product type, packaging and daily intake profile
- Temperature band and allowed tolerance
- Storage capacity and throughput
- Country, city, site status and building condition

Product type and temperature range
Product decides humidity, airflow, hygiene and pull-down requirements. Two rooms at the same temperature can need very different systems.
Storage or processing capacity
State pallets, tonnes or m³ plus peak intake per day. Storage volume alone does not size freezing capacity.
Site and building status
New build, existing shell, extension or retrofit changes scope boundaries, civil works and installation cost.
Refrigeration type preference
If ammonia, CO2 or a specific refrigerant is required or excluded, say so up front; it changes the supplier shortlist.
Energy constraints
Available connection capacity, tariff and any efficiency targets must be shared so suppliers do not quote plant the site cannot power.
Backup power and redundancy needs
Define N or N+1, generator autonomy in hours, and which loads must stay live.
Monitoring and compliance needs
List required sensors, logging intervals, alarm escalation, calibration and any regulatory framework that applies.
Budget range and timeline
A range is enough. It prevents suppliers proposing solutions that are an order of magnitude away from the project reality.
Local permits and regulatory status
Permitting, ammonia regulations, fire strategy and food or pharma authority requirements affect both design and schedule.
