RFQ Terms

Sourcing mechanism only. An RFQ submitted via ColdMatch Group is a non-binding invitation to independent third-party suppliers to submit indicative quotations. Any resulting contract is concluded exclusively between you and the supplier you select. ColdMatch Group is not a party to that contract, does not underwrite it and does not guarantee any commercial or technical outcome.

1. Purpose of an RFQ

The RFQ tools on the platform allow buyers to describe a cold-chain project or equipment requirement so that qualified suppliers can prepare indicative quotations. Submitting an RFQ does not oblige any supplier to respond, does not create a contract, and does not oblige you to accept any quotation received.

2. Accurate and lawful information

You warrant that the information contained in your RFQ (including company identity, location, technical specifications, quantities, budget, timeline and end-use) is accurate, complete and lawful. You must not submit RFQs on behalf of sanctioned parties, for prohibited end-uses, or for fictitious projects.

3. Sharing your RFQ with suppliers

By submitting an RFQ you authorise ColdMatch Group to share the technical and commercial details necessary to prepare a quotation with a selected shortlist of independent third-party suppliers, financing partners and, where relevant, logistics or insurance providers. Direct personal contact details are shared only with suppliers you choose to engage.

4. Quotations, prices and lead times

All prices, specifications, certifications, availability, delivery schedules, refrigerant options and warranty terms originate from the third-party supplier and remain indicative until confirmed in a written order accepted by that supplier. They may change at any time and without notice. ColdMatch Group does not verify, endorse, guarantee or warrant supplier-supplied information.

5. Buyer due diligence

Independently verify all technical calculations, sizing and refrigerant selections.
Confirm supplier identity, certifications, references and after-sales capability.
Confirm import, customs, F-gas and food-safety compliance in your jurisdiction.
Conduct your own commercial, financial and legal due diligence before signing.

6. Right to review, request documentation and reject RFQs

ColdMatch Group may review any RFQ and may request documentation to verify the buyer, the project or the intended end-use. We reserve the right, where appropriate and to the maximum extent permitted by applicable law, to reject, throttle, suspend or permanently terminate any RFQ or account that we reasonably suspect involves fraud, false technical information, fake companies, identity theft, counterfeit equipment, illegal trade, sanctions or export violations, money laundering, terrorist financing, corruption, intellectual property infringement or marketplace abuse.

7. No exclusivity, no brokerage fee to buyers

Submitting an RFQ does not create an exclusive relationship with any supplier and does not oblige you to buy through the platform. Buyers are not charged a brokerage fee for sourcing services.

8. Limitation of liability

To the maximum extent permitted by applicable law, ColdMatch Group is not liable for any loss, damage, delay, cancellation, spoilage, refrigerant release, lost profit, financial loss or consequential damages arising out of or in connection with any RFQ, supplier response, quotation or resulting contract.
