Cold Storage Buyer FAQ: Planning, Refrigerants, CAPEX vs OPEX and RFQs

How do I size a cold room before I have an engineer?

Start from the product, not the building. Define the product type, storage or freezing temperature, the peak tonnage you must hold, the daily inbound throughput and how long product stays in the room. From those five numbers you can estimate pallet positions, usable volume and an indicative cooling load. A design engineer later refines insulation, airflow, defrost and layout, but a project that starts from product data avoids the most common mistake: sizing a box first and discovering the load does not fit the room.

What is the difference between chilled, frozen and blast freezing rooms?

Chilled rooms typically hold product between 0 °C and +4 °C and are sized for holding, not pull-down. Frozen storage usually runs at −18 °C to −25 °C and is also a holding duty. Blast freezing is a process duty: the room or tunnel must remove a defined amount of heat within a defined time (often 8–24 hours), so the refrigeration capacity per m³ can be several times higher than frozen storage. Mixing the two duties in one specification is the fastest way to get quotations that cannot be compared.

How much does a cold room or cold store actually cost?

There is no single price per m². Cost is driven by temperature, panel thickness, refrigeration system type, redundancy, racking, doors and dock equipment, controls, electrical infrastructure and site conditions. As an order of magnitude, a chilled store is materially cheaper per m³ than a frozen store, and a blast facility is the most expensive per m³ because of installed refrigeration capacity. Use an indicative CAPEX estimate to set an internal budget range, then let suppliers price against a defined scope.

Should we expand an existing facility or build new?

Compare three things: the marginal cost per new pallet position, the disruption cost to running operations, and the ceiling the existing site imposes on electrical capacity, dock doors and refrigeration plant. Expansion often wins on CAPEX and loses on operational risk and long-term flexibility. Model both before committing.

How long does a serious cold storage project take?

For a defined mid-size industrial project, expect roughly 2–6 weeks to prepare a procurement-ready scope and shortlist, 4–8 weeks for supplier proposals and technical clarification, and then supplier-dependent manufacturing and installation lead times that commonly run several months. Long-lead items — compressors, packaged plant rooms, specialist doors — usually set the critical path, not civil works.

Refrigerants & system choice

Refrigerant choice affects permits, safety systems, operating cost and the supplier pool that can bid at all.

NH₃ (ammonia) or CO₂ — which one should we specify?

Ammonia remains highly efficient for large industrial loads and is well supported by industrial contractors, but it is toxic, requires machinery-room design, detection, ventilation and trained operators, and is restricted in some occupied or urban settings. CO₂ (R744) is non-toxic and low-GWP, works very well for low-temperature duty and transcritical systems in moderate climates, and carries high-pressure design requirements and a smaller pool of experienced installers in some regions. The right answer depends on load size, ambient climate, site location, local regulation and available service capability — not on a general ranking.

Can we still use R404A or R22?

R22 (HCFC) is phased out in most jurisdictions and should not be specified for new plant. R404A has a very high GWP and is being restricted or priced out under F-gas style regulation in many markets, so new projects specifying it risk a short economic life and expensive future retrofits. If you inherit either, plan the replacement path deliberately rather than servicing indefinitely.

Do we need glycol or a secondary loop?

A secondary loop (glycol, CO₂ pumped) limits the primary refrigerant charge to the plant room, which can be decisive for ammonia in occupied buildings or where regulation caps charge. The trade-off is added pumping energy and an extra heat-exchange step, so efficiency drops slightly. Specify it when safety, charge limits or distribution distance require it, not by default.

How much does refrigerant choice change operating cost?

System architecture, part-load control and heat recovery usually move energy cost more than the refrigerant label itself. Refrigerant matters most at the extremes: very low evaporating temperatures, high ambient conditions, and regulatory or service-availability constraints. Model electricity at your actual tariff before drawing conclusions from a generic efficiency comparison.

CAPEX vs OPEX

Most cold storage decisions are lost on operating cost, not purchase price. These are the questions that separate the two.

What is the practical difference between CAPEX and OPEX in a refrigeration project?

CAPEX is the one-time investment: envelope, refrigeration plant, electrical works, controls, racking, doors, installation and commissioning. OPEX is what the facility costs to run: electricity, maintenance and spares, refrigerant top-up, monitoring, compliance testing and labour. Electricity is normally the dominant OPEX line for frozen and blast facilities, and it recurs every year for the 15–25 year life of the plant.

Is the cheapest offer usually the most expensive facility?

Often, yes. Lower panel thickness, undersized evaporators, basic on/off control and no heat recovery all reduce the quoted price and increase annual energy use. A quotation that is 10–15% cheaper on CAPEX can be more expensive within a few years once energy and maintenance are counted. Compare offers on total cost of ownership over a defined horizon, not on the bid sheet alone.

Which measures actually reduce operating cost?

In practice: correct insulation for the temperature class, floating head pressure and variable-speed control, efficient defrost strategy, well-managed door protection and dock sealing, LED lighting with occupancy control, and heat recovery where there is a hot-water or under-floor heating demand. Each should be justified with a payback calculation at your own tariff, not accepted as a generic best practice.

How should we budget before quotations arrive?

Set an internal range, not a number. Use indicative CAPEX and OPEX estimates to establish a lower and upper bound, add a contingency appropriate to the site risk, and separate the refrigeration scope from civil, electrical infrastructure and racking so that supplier offers stay comparable.

What project size do you work with?

We focus on commercial and industrial projects from roughly USD $250K upwards. Domestic refrigeration, appliance repair, spare parts and single-unit air-conditioning enquiries fall outside what we handle.

What does it cost the buyer?
