Structured RFQs & Supplier Research: How ColdMatch Prepares Your Project

ColdMatch is not an open marketplace. Every project request is turned into a structured, supplier-ready RFQ and researched manually before any supplier is introduced. Here is how that works — and what to prepare.

Project-first rule

We do not search for suppliers until we understand your project. Technology helps structure the requirement; human review decides which suppliers may genuinely fit. Only then does ColdMatch coordinate an introduction.

What a structured RFQ looks like

An unstructured request asks suppliers to guess. A structured RFQ removes the guesswork so every offer answers the same question. For cold-chain projects, that matters because small differences in temperature, insulation, duty or scope can double the price.

One identical technical brief

Every supplier receives the same scope: product, temperature regime, volume, throughput, ambient conditions, power situation, standards and commercial terms. No supplier gets a looser or tighter version.

Comparable commercial format

Offers come back separated into equipment, installation, commissioning, spares, warranty and freight. Differences in price then reflect real differences in scope, not in how the question was asked.

Engineering context captured early

Cooling load, refrigerant preference, redundancy, door traffic, backup power and compliance needs are defined before suppliers quote, so numbers are grounded in the same assumptions.

Buyer-side qualification layer

ColdMatch reviews the brief for completeness, seriousness and fit before any supplier research begins. Projects below the commercial threshold or missing critical data are clarified first.

How ColdMatch researches suppliers

Supplier research is a manual, qualification-driven process. We do not auto-forward enquiries and we do not sell buyer contact details. The goal is a shortlist of suppliers whose technology, geography and track record match the written brief.

  1. 1.Understand the project brief

    We read the RFQ for product, capacity, temperature, country, site conditions, budget envelope and timeline. If data is missing, we ask targeted follow-up questions before searching.

  2. 2.Map the supplier universe

    We look for manufacturers, EPC contractors, installers and integrators with relevant country experience, matching technology and capacity band. The directory is one input; private research and project history are others.

  3. 3.Screen for technical fit

    Candidates are checked against the stated scope: refrigerant capability, temperature range, installed references, service coverage, documentation quality and delivery track record.

  4. 4.David approves the shortlist

    Only after human review does ColdMatch prepare a shortlist. Suppliers are not auto-matched, and buyer contact details are not distributed before approval.

What to prepare before submitting

You do not need a finished engineering design. But the more of these details you can share, the faster ColdMatch can move from review to supplier research.

  • Product stored and target temperature band
  • Volume in m³, pallet positions or daily throughput
  • Site country, city and ambient temperature range
  • Power availability, backup and renewable plans
  • Refrigerant preference or restriction (NH₃, CO₂, HFO)
  • Scope boundary: supply-only, install, turnkey EPC
  • Budget range and target timeline
  • Compliance needs (GDP, HACCP, ISO, local standards)

Why this is not a supplier marketplace

Marketplaces optimize for speed and volume. Industrial refrigeration and cold-chain projects optimize for fit. A mismatched supplier wastes weeks and produces unusable quotes. ColdMatch deliberately slows the matching step to improve the fit.

No automatic forwarding

Your request is never blasted to a supplier database. Each project is reviewed individually.

No pay-to-play shortlist

Suppliers are not ranked by commission or advertising spend. Fit to the written scope comes first.

Buyer details stay protected

Contact information and project specifics are shared with suppliers only after ColdMatch approval and usually only with the shortlisted parties.

Human review at every gate

Technology structures the problem; David or an authorized ColdMatch / Global B2B Group team member approves every commercial introduction.

What happens after you submit

  1. You submit the brief. Use the RFQ builder, a calculator hand-off, or the contact form. You receive a reference and a status link.
  2. ColdMatch reviews it. We check completeness, scale, country fit and commercial seriousness.
  3. Supplier research begins. Only after the brief is approved do we search for technically relevant suppliers.
  4. Introductions are approved. David or an authorized team member coordinates supplier introductions only when there is a meaningful fit.
