Refrigeration, RFQ & Procurement Management FAQ
Supplier-neutral answers to the questions buyers ask before procuring a cold room, freezer or process-cooling plant — from refrigeration basics to RFQ structure and end-to-end procurement management. Planning guidance only; final system selection depends on site data, local codes and qualified engineering review.
Answers at a glance
- Which project type is mine?
- Cold storage holds product that already arrives at temperature (chilled 0…+4 °C or frozen about −18…−25 °C). Blast freezing pulls warm product down to frozen storage temperature in a set time, batch by batch. IQF (individually quick frozen) freezes loose pieces continuously on a belt or fluidised bed. Process cooling removes heat from a production line (chilled water or glycol) rather than a room. Pharmaceutical cold chain adds temperature mapping, monitoring and documented control under Good Distribution Practice. Each is priced and specified differently, so name one per request line. See blast freezers and IQF freezers.
- What must a buyer provide before suppliers can quote?
- Product and its incoming and target temperature; daily throughput or storage capacity (tonnes, pallets or m³); room or line dimensions; country, site ambient and power supply; preferred or excluded refrigerants; delivery scope (equipment only, installed or turnkey); and timeline. Estimate missing figures with the cold room size calculator and cooling load calculator.
- How do refrigerant and energy rules affect the design?
- Refrigerant choice is constrained by local rules on high-GWP HFCs (in the EU, Regulation (EU) 2024/573 on fluorinated gases) and by safety standards for charge and machinery rooms such as ISO 5149 / EN 378 and, for ammonia, IIAR standards. Electricity tariff and backup power usually dominate operating cost. Ask suppliers to state compliance with your local rules; ColdMatch does not certify compliance. Compare running cost with the TCO calculator.
- Who reviews my request?
- A person on the ColdMatch team reviews every brief, asks for missing details and structures it into an RFQ. The team then contacts suitable suppliers on your behalf; buyers do not contact manufacturers directly through ColdMatch. ColdMatch is not a manufacturer, installer or lender. The service is free for buyers and focuses on commercial and industrial projects from USD 250,000. How ColdMatch works.
- How do supplier offers become comparable?
- Every supplier answers the same structured brief, so offers can be laid side by side on capacity at the stated conditions, refrigerant, energy use, included and excluded scope, lead time, warranty and payment terms. Check them with the bid comparison tool.
Calculators give planning estimates from your inputs and stated assumptions, not quotes or guaranteed performance. Final design and compliance rest with the selected supplier and a qualified local engineer.
