Buyer workflow

Refrigeration RFQ procurement: how industrial buyers buy cold storage

The practical workflow behind every well-bought cold storage, blast freezing or process cooling project: one specification, one RFQ to qualified suppliers, and a structured comparison before any contract is signed.

What refrigeration RFQ procurement means

Refrigeration RFQ procurement is the structured way industrial buyers purchase cooling infrastructure: cold storage warehouses, blast freezers, IQF lines, chillers and process cooling plants. Instead of accepting the first quote, the buyer writes one specification, sends it to several qualified suppliers as an RFQ (request for quotation), and compares the answers line by line.

This matters because industrial refrigeration is engineered per project. Two quotes for 'the same' cold room can differ by hundreds of thousands of dollars simply because each supplier assumed different insulation thickness, refrigerant, redundancy or installation scope. The RFQ is what forces every bidder onto the same assumptions.

What a complete refrigeration RFQ contains

A refrigeration RFQ that produces comparable quotes states: the product and throughput (tons per day, pallet positions, kg per hour), the temperature class (chilled, frozen, blast, pharma), the required cooling capacity or the data to calculate it, site conditions (ambient temperature, altitude, power supply, water), refrigerant constraints (ammonia, CO₂, glycol or low-GWP synthetics), installation and commissioning scope, and the commercial frame — delivery terms, payment terms, warranty and spare parts.

Missing any of these invites each supplier to fill the gap with their own assumption — and the cheapest quote is usually the one that assumed the least.

How suppliers are evaluated

Once proposals arrive, procurement management normalizes them into a comparison matrix: capacity at your site conditions, efficiency (COP or kWh per year), refrigerant, scope inclusions and exclusions, delivery and commissioning timeline, warranty terms, total cost of ownership and references. Deviations are clarified in writing before any negotiation starts.

For cold-chain projects above USD 250K, this disciplined process routinely saves more than any single price negotiation — and it creates a defensible audit trail for the investment decision.

How ColdMatch supports the buyer

ColdMatch is vendor-neutral: we do not sell refrigeration equipment and we do not operate warehouses. You submit one project brief, a human reviewer prepares it, and only then are qualified suppliers from our network of 100+ approached. You receive comparable proposals and keep full control of the decision.

The service is free for qualified buyers. Cost figures on this site are planning-level benchmarks with stated update dates — final pricing always comes from the suppliers' proposals to your RFQ.

The workflow in three steps
  1. 01

    Specify once

Product, temperatures, capacity and site conditions are defined before any supplier is contacted.

  2. 02

    Issue one RFQ

Every qualified supplier answers the same specification, so quotes become comparable.

  3. 03

    Compare and select

Proposals are normalized into a matrix, deviations clarified, and the selection documented.
