Temperature instability

Cold room temperature excursion: what to do in the first hour

An excursion is any period when storage or product temperature exceeds the limit in your own HACCP plan, specification or GDP procedure. The response has two parts that must not be confused: protecting and documenting the product, and fixing the room.

Short answer

Record the readings and time first, keep doors closed, segregate affected product as ON HOLD and follow the corrective action written in your HACCP plan or SOP. Your QA lead — not a tool or a technician — decides what happens to the product. Then find the cause: door practice, power, defrost or a refrigeration fault.

This is planning-level guidance for facility owners and procurement teams. It is not a remote diagnosis. Refrigerant handling, electrical work and pressure-system service must be carried out by qualified refrigeration professionals.

Symptoms to look for

  • •High-temperature alarm or logger trend above the limit
  • •Room slow to recover after loading or defrost
  • •Product surface warm to the touch or condensation on packaging
  • •Repeated short alarms at the same time of day

Diagnostic decision tree

  1. 1. Is the maximum reading above the limit in your plan?

Yes → Treat as an excursion and continue.

No → Record the reading, check probe agreement and keep monitoring.

  2. 2. Is there a calibrated logger record for the whole period?

Yes → Use it to establish duration and peak.

No → Assume the worst plausible duration and fix monitoring.

  3. 3. Is the product pharmaceutical?

Yes → Notify the Responsible Person now; use approved stability data only.

No → Apply the corrective action in your HACCP plan.

  4. 4. Was the cause a plant fault, defrost issue or unknown?

Yes → Call a qualified refrigeration technician.

No → Correct door/power practice and record recovery time.

1. Evidence before movement

Write down time, readings, alarm history and who found the incident before product is moved. A missing record is the most common reason an excursion cannot be assessed later.

2. Hold, don't decide

Segregate and label affected lots. Disposition belongs to your QA/HACCP lead using the corrective action and critical limits in your own plan, consistent with Codex HACCP principles.

3. Find the cause

Door and loading practice, power interruptions, iced evaporator coils, failed defrost, condenser problems and undersized plant all produce excursions. Recurring excursions at the same time of day usually point to load or defrost, not a random fault.

  • •Door and loading records
  • •Defrost schedule vs. alarm times
  • •Compressor and condenser alarm log

4. Prevent the next one

Calibrated monitoring with alarms, defined escalation contacts, and a capacity check when the room was resized or loading increased. If excursions recur, a structured project brief prevents buying the wrong fix.
